Position Summary
We are seeking an Admissions Coordinator to support applicants through the end-to-end process for the IIT Madras Admission Form. This role focuses on application guidance, documentation checks, deadline management, candidate communication, and coordination with internal stakeholders to ensure a smooth and compliant admissions journey.
The ideal candidate is detail-oriented, service-minded, and comfortable working with web portals, forms, and high-volume inquiries while maintaining accuracy and confidentiality.
Responsibilities
- Provide accurate guidance to applicants regarding the IIT Madras admission process, eligibility, required documents, and key timelines.
- Assist candidates with online form navigation, account setup, and common technical troubleshooting (basic level).
- Review submitted information for completeness and consistency; flag discrepancies and request clarifications as needed.
- Coordinate collection and verification of supporting documents (e.g., identity proof, academic records, category certificates where applicable).
- Maintain and update applicant records in tracking tools/CRM/spreadsheets; ensure data integrity and version control.
- Respond to applicant queries via email/phone/chat within defined SLAs; maintain professional and empathetic communication.
- Track important dates (application start/end, corrections window, exam/interview schedules where applicable) and send reminders.
- Prepare routine status reports and dashboards for internal review (applications received, pending items, resolved cases).
- Collaborate with content/operations teams to keep admission instructions, FAQs, and process notes current and accurate.
- Ensure adherence to privacy and confidentiality standards when handling applicant data and documents.
Requirements
- Bachelor’s degree in any discipline (Education/Administration/Operations preferred).
- 1–3 years of experience in admissions support, education operations, customer support, or administrative coordination.
- Strong attention to detail with the ability to follow structured processes and checklists.
- Excellent written and verbal communication skills; ability to explain steps clearly and patiently.
- Comfortable working with online portals, forms, Google Workspace/MS Office (Excel/Sheets proficiency preferred).
- Ability to manage multiple cases simultaneously and meet deadlines in a fast-paced environment.
- High standards of integrity and confidentiality when handling sensitive personal and academic information.
- Problem-solving mindset and willingness to learn admission rules, documentation norms, and workflow tools.
Preferred Qualifications
- Prior experience supporting higher-education admissions, entrance exam processes, or form-based workflows.
- Experience creating/maintaining FAQs, templates, and applicant communication scripts.
- Familiarity with CRM/ticketing tools (e.g., Freshdesk, Zendesk) or applicant tracking systems.
- Basic understanding of document verification and compliance checks.
