We are seeking an Admissions Outreach & Support Coordinator to help prospective applicants navigate the IIT Kharagpur admission journey. This role focuses on guiding candidates through timelines, eligibility, documentation, application steps, and status updates while maintaining accurate records and ensuring a high-quality applicant experience.

Responsibilities

  • Serve as a primary point of contact for admission-related inquiries via email, phone, chat, and web forms.
  • Provide clear guidance on application processes, key dates, required documents, and common troubleshooting steps.
  • Support applicants with account access issues, form completion questions, and document submission checks (as per policy).
  • Maintain accurate applicant interaction logs and ensure timely follow-ups and updates.
  • Coordinate with internal teams (admissions operations, IT support, academic departments) to resolve escalations.
  • Assist in publishing and updating admissions information pages, FAQs, and communication templates.
  • Track recurring applicant issues and propose improvements to reduce friction and increase completion rates.
  • Support outreach initiatives such as webinars, virtual helpdesks, information sessions, and campus events.
  • Ensure communications remain compliant with institutional policies, privacy standards, and official guidelines.

Requirements

  • Bachelor’s degree in any discipline; a background in education administration, communications, or public relations is a plus.
  • 1–3 years of experience in admissions support, student services, customer support, or a similar coordination role.
  • Strong written and verbal communication skills with the ability to explain processes clearly and professionally.
  • High attention to detail and ability to manage multiple applicant requests with accuracy and empathy.
  • Comfortable working with online portals, spreadsheets, ticketing/CRM tools, and content management systems.
  • Ability to handle sensitive information responsibly and maintain confidentiality.
  • Problem-solving mindset with a structured approach to triage and escalation.
  • Preferred: Familiarity with Indian higher-education admissions workflows and common entrance/admissions terminology.
