Position Summary: We are seeking a detail-oriented Nagpur University Admit Card & Exam Services Coordinator to support end-to-end examination operations, including admit card workflows, candidate communications, schedule coordination, and result/answer-key related publishing support. This role partners with academic departments, IT teams, and examination authorities to ensure accurate, timely, and compliant exam delivery.
Responsibilities
- Coordinate admit card generation and distribution workflows, ensuring accuracy of candidate data, exam center details, date/shift mapping, and document formatting.
- Maintain and validate exam schedules, center allocations, and candidate rosters; reconcile discrepancies in enrollment and eligibility records.
- Serve as the primary point of contact for candidate queries related to admit cards, exam dates, shift details, and required documentation.
- Support publishing processes for exam-related notices (e.g., answer keys, results, re-exam updates) in coordination with authorized stakeholders.
- Track and manage issue resolution for common admit card concerns such as incorrect personal details, missing registrations, and center/shift corrections.
- Assist in documenting SOPs for exam operations, including timelines, approvals, data checks, and escalation paths.
- Collaborate with IT/portal administrators to test and verify candidate-facing pages, PDF downloads, and access controls.
- Maintain records of communications, approvals, and revisions for audit readiness and compliance.
- Support post-exam activities such as attendance reconciliation, incident reporting, and coordination for re-exams when required.
Requirements
- Bachelor’s degree in Administration, Education, Information Systems, or a related field (or equivalent experience).
- 1–3 years of experience in academic administration, examination cell operations, student services, or portal/content operations.
- Strong attention to detail and ability to manage high-volume, deadline-driven workflows.
- Proficiency with spreadsheets (Excel/Google Sheets) and document handling (PDF generation, formatting, and version control).
- Comfort working with web portals/CMS tools for publishing notices and maintaining candidate-facing content.
- Excellent written and verbal communication skills; ability to explain processes clearly to candidates and stakeholders.
- Ability to handle sensitive personal data responsibly and follow confidentiality and data-protection practices.
- Preferred: Familiarity with exam structures such as online/written examinations, date/shift-wise scheduling, and objection handling processes for answer keys.
