Online Counselling Coordinator (Kanpur University Admissions)

Kanpur University is seeking an Online Counselling Coordinator to support end-to-end admissions counselling operations through digital channels. This role focuses on guiding prospective students, coordinating counselling schedules, supporting application workflows, and ensuring an accurate, responsive, and compliant counselling experience across web portals and communication platforms.

Responsibilities

  • Serve as the primary point of contact for prospective students and applicants regarding online counselling, admissions steps, eligibility, and documentation requirements.
  • Coordinate counselling schedules, session links, queue management, and follow-ups across email, phone, and messaging channels.
  • Assist students with portal navigation, form completion, fee payment guidance (where applicable), and troubleshooting common login/credential issues.
  • Verify and pre-check submitted documents for completeness and consistency; escalate discrepancies to the appropriate admissions authority.
  • Maintain accurate records of enquiries, counselling outcomes, and status updates in the counselling/admissions database or CRM.
  • Collaborate with admissions, IT, and academic departments to publish timely updates (dates, instructions, FAQs) and ensure consistency of information.
  • Support the creation and upkeep of counselling FAQs, step-by-step guides, and candidate communication templates.
  • Monitor counselling performance metrics (response time, resolution rate, session attendance) and propose process improvements.
  • Ensure data privacy and confidentiality of applicant information in accordance with institutional policies.

Requirements

  • Bachelor’s degree in any discipline (Education/Administration/Management preferred).
  • 1–3 years of experience in student services, admissions, counselling coordination, customer support, or a similar operations role.
  • Strong written and verbal communication skills with the ability to explain processes clearly and patiently.
  • Comfortable working with online portals, spreadsheets, ticketing/CRM tools, and standard office software.
  • Ability to manage multiple cases simultaneously while maintaining accuracy and professionalism.
  • High attention to detail for document checks, data entry, and status tracking.
  • Basic troubleshooting skills for common user issues (password resets guidance, browser/device checks, form validation errors).
  • Willingness to work during peak counselling windows, including extended hours as needed.

Preferred Qualifications

  • Experience supporting university admissions or online counselling processes.
  • Familiarity with document verification workflows and admissions compliance practices.
  • Experience creating process documentation, FAQs, or candidate communication content.
