Position Summary
We are seeking an Admissions & Outreach Coordinator to support end-to-end student admissions operations for the Bidhan Chandra Krishi P O Krishi Vishwavidyalaya Admission Form process. This role focuses on applicant guidance, documentation checks, portal support, deadline tracking, and coordination with internal stakeholders to ensure a smooth, compliant, and applicant-friendly admissions experience.
This position is ideal for a detail-oriented professional who can manage high volumes of inquiries, maintain accurate records, and communicate clearly with prospective students and parents.
Responsibilities
- Serve as the primary point of contact for applicant queries related to the Bidhan Chandra Krishi P O Krishi Vishwavidyalaya admission process, eligibility, and documentation.
- Guide applicants through online application steps, including registration, form completion, fee payment troubleshooting, and submission confirmation.
- Verify application completeness and perform preliminary checks of uploaded documents (identity, academic records, category certificates, photos/signatures, etc.) as per published requirements.
- Maintain and update applicant records in spreadsheets/CRM/admissions systems while ensuring data accuracy and confidentiality.
- Track key dates (application windows, corrections, merit list announcements, counseling/document verification schedules) and proactively communicate reminders.
- Coordinate with internal teams (IT/portal support, academic departments, finance, and administration) to resolve applicant issues and escalate technical cases.
- Support preparation of notices, FAQs, email/SMS templates, and helpdesk scripts to improve applicant experience.
- Assist in organizing counseling/document verification activities, including scheduling, queue management, and checklist-based verification support.
- Generate periodic reports (application counts, issue logs, turnaround times, common query themes) for management review.
- Ensure adherence to institutional policies, government/University guidelines, and record retention practices.
Requirements
- Bachelor’s degree in any discipline (Education Administration, Public Administration, Management, or related fields preferred).
- 1–3 years of experience in admissions, student services, academic administration, customer support, or similar operations roles.
- Strong written and verbal communication skills; ability to explain processes clearly to applicants.
- High attention to detail with strong document-checking and data entry accuracy.
- Comfort working with web portals, online forms, PDFs, and office tools (Excel/Google Sheets, email, ticketing systems).
- Ability to manage deadlines, handle peak-season volumes, and prioritize multiple requests.
- Professional approach to handling sensitive personal data and confidential records.
- Preferred: Experience supporting government/university admissions, counseling rounds, or document verification workflows.
- Preferred: Ability to communicate in English and Hindi/Bengali (as applicable to applicant base).
