Position: UAJET Admissions & Program Coordinator

We are seeking a detail-oriented, student-focused UAJET Admissions & Program Coordinator to manage end-to-end admissions operations for UAJET-related programs. This role coordinates applicant communications, application verification, exam-related logistics, and cross-functional collaboration to ensure a smooth and compliant admissions experience.

Responsibilities

  • Serve as the primary point of contact for UAJET applicants, responding to inquiries via email, phone, and web portals.
  • Coordinate the admissions lifecycle, including application intake, document collection, eligibility checks, and status updates.
  • Maintain and update applicant records in admissions systems/CRMs; ensure data accuracy and confidentiality.
  • Support exam-related communications such as important dates, instructions, and candidate notifications.
  • Collaborate with internal stakeholders (academics, IT, finance, and administration) to align admissions processes and timelines.
  • Prepare and publish admissions updates, FAQs, and process guidance for applicants.
  • Assist with the verification process, ensuring documentation meets policy and regulatory requirements.
  • Generate reports and dashboards on application volume, conversion, and processing turnaround times.
  • Identify process gaps and propose improvements to enhance applicant experience and operational efficiency.
  • Support post-admission steps such as onboarding communications and orientation coordination.

Requirements

  • Bachelor’s degree in Education, Administration, Business, or a related field (or equivalent experience).
  • 1–3 years of experience in admissions, student services, program coordination, or administrative operations.
  • Strong written and verbal communication skills with a service-oriented mindset.
  • High attention to detail and ability to manage multiple deadlines simultaneously.
  • Proficiency with spreadsheets and documentation workflows (e.g., Excel/Google Sheets, PDF tools).
  • Comfort working with online portals/CRMs and maintaining accurate records.
  • Ability to interpret and apply admissions guidelines, eligibility rules, and documentation standards.
  • Professional discretion when handling sensitive personal and academic information.

Preferred Qualifications

  • Experience supporting entrance exams, application portals, or education program administration.
  • Familiarity with document verification, audit-ready recordkeeping, and process standardization.
  • Basic reporting/analytics skills (pivot tables, dashboards, KPI tracking).
