Admissions & Outreach Coordinator (Indira Gandhi Krishi Vishwavidyalaya Programs)

Position Summary

We are seeking an Admissions & Outreach Coordinator to support end-to-end admissions operations for academic programs associated with Indira Gandhi Krishi Vishwavidyalaya (IGKV). This role focuses on guiding applicants through the admission form process, ensuring documentation accuracy, coordinating timelines, and providing responsive candidate support across digital channels.

The ideal candidate is detail-oriented, service-minded, and comfortable working with online application workflows, public information requests, and multi-stakeholder coordination.


Responsibilities

  • Coordinate the admissions application lifecycle, including inquiry handling, application intake, document verification support, and status updates.
  • Provide applicant assistance for online admission forms, eligibility criteria, required documents, and submission steps.
  • Maintain accurate applicant records in spreadsheets/CRM/portal systems, ensuring data integrity and timely updates.
  • Monitor admission timelines, announcements, and updates from official sources; communicate changes to applicants and internal teams.
  • Support creation and maintenance of applicant-facing content (FAQs, instructions, email templates) aligned with official notifications.
  • Handle inbound queries via email/phone/chat in a professional, compliant, and empathetic manner.
  • Coordinate with academic departments and administration for clarification of requirements, seat availability, and program-specific criteria.
  • Assist with reporting: daily application volumes, issue logs, turnaround time, and common applicant pain points.
  • Ensure adherence to privacy, confidentiality, and record-retention standards while handling applicant information.
  • Support outreach activities such as webinars, information sessions, and announcements to improve applicant awareness and completion rates.

Requirements

  • Bachelor’s degree (any discipline). Background in education administration, public administration, agriculture education support, or related fields is a plus.
  • 1–3 years of experience in admissions, customer support, education operations, or administrative coordination.
  • Strong written and verbal communication skills in English; Hindi proficiency is strongly preferred.
  • Working knowledge of online forms, document checklists, and basic verification workflows.
  • Proficiency with MS Office/Google Workspace (Excel/Sheets, Docs), email tools, and basic reporting.
  • High attention to detail and ability to manage multiple deadlines simultaneously.
  • Professional judgment when handling sensitive applicant data and official communications.
  • Comfortable working with structured processes and adapting quickly to policy/notification updates.

Preferred Qualifications

  • Experience supporting university admissions or government/education-related application processes.
  • Familiarity with applicant helpdesk operations and ticketing systems.
  • Basic understanding of academic program structures, eligibility norms, and document types commonly required for admissions.
