Position: BHEL Admit Card Coordinator
We are seeking a detail-oriented and service-focused professional to support end-to-end admit card and examination communication workflows for large-scale recruitment and assessment programs. This role focuses on coordinating admit card publishing timelines, validating candidate data, handling candidate queries, and ensuring accurate dissemination of exam-related updates in collaboration with internal teams and external examination partners.
Responsibilities
- Coordinate admit card release activities, ensuring timelines, approvals, and publication steps are completed accurately.
- Verify candidate records (name, registration details, exam center preferences, category, and ID information) prior to admit card generation.
- Support the creation and maintenance of candidate-facing communications (instructions, exam day guidelines, FAQs, and notices).
- Track and resolve candidate support tickets related to admit card download, login issues, data mismatches, and exam city/center details.
- Coordinate with IT/portal teams to identify and escalate technical issues affecting candidate access and downloads.
- Maintain logs for corrections, re-issuance requests, and exception handling with proper approvals and audit trails.
- Assist in compiling operational reports (download statistics, issue categories, resolution time, and escalation summaries).
- Ensure compliance with data privacy and confidentiality standards while handling candidate information.
- Support other examination lifecycle tasks such as notification updates, document verification checklists, and post-exam communications when required.
Requirements
- Bachelor’s degree in any discipline (preferred: Administration, HR, IT, or Communications).
- 1–3 years of experience in exam operations, recruitment administration, customer support operations, or portal-based coordination (freshers with strong aptitude may be considered).
- Strong attention to detail and ability to work with large datasets and candidate records.
- Comfortable working with web portals, spreadsheets, ticketing tools, and basic reporting.
- Excellent written and verbal communication skills; ability to explain steps clearly to candidates.
- Ability to manage deadlines during peak periods (admit card release and exam windows).
- Understanding of standard exam processes (admit cards, exam dates, centers, instructions) is a plus.
- High integrity and commitment to confidentiality when handling personal data.
