Position: President Secretariat Program Coordinator (Online Form & Application Processing)
Location: On-site/Hybrid (as per department policy)

We are seeking a detail-oriented, service-driven Program Coordinator to support application intake and online form processing for programs administered under the President Secretariat. The role focuses on ensuring accurate data capture, timely communication with applicants, and smooth coordination across internal stakeholders while maintaining confidentiality and compliance with established procedures.
Responsibilities
- Manage end-to-end processing of online application forms, including initial screening, data verification, and completeness checks.
- Maintain accurate applicant records in internal systems; ensure data integrity, version control, and audit readiness.
- Coordinate with relevant departments to route applications, track status, and resolve discrepancies or missing information.
- Respond to applicant queries via email/phone/helpdesk channels with clear guidance on eligibility, documentation, and submission steps.
- Prepare daily/weekly status reports on application volumes, processing timelines, and pending actions.
- Support publication of notices and updates (e.g., last date reminders, document requirements) on designated communication channels.
- Ensure adherence to confidentiality requirements and information security practices when handling personal data.
- Assist in documentation of standard operating procedures (SOPs) and process improvements for application workflows.
- Coordinate logistics for subsequent stages where applicable (e.g., document verification scheduling, shortlist communications).
Requirements
- Bachelor’s degree in Administration, Public Policy, Management, IT, or a related field (or equivalent relevant experience).
- 1–3 years of experience in administrative operations, application processing, customer support, or public-facing service roles.
- Strong attention to detail and ability to validate documents and data accurately under deadlines.
- Proficiency with online form platforms, spreadsheets, and office productivity tools (e.g., MS Excel/Google Sheets, Word/Docs).
- Excellent written and verbal communication skills; ability to draft clear instructions and applicant-facing messages.
- Ability to handle sensitive information with discretion and comply with data protection and confidentiality standards.
- Strong organizational skills and ability to manage multiple requests concurrently.
- Preferred: experience working with government/PSU/large institutions, helpdesk ticketing tools, or record management systems.
