Position: GATE Counseling Coordinator
We are seeking a detail-oriented and candidate-focused GATE Counseling Coordinator to guide engineering graduates through the GATE-based admissions and counseling journey. This role supports applicants with counseling registration, document readiness, choice filling strategy, schedule tracking, and issue resolution across common processes such as CCMT/COAP and institute-specific admissions. You will work closely with students, internal support teams, and external stakeholders to ensure a smooth, compliant, and timely counseling experience.
Responsibilities
- Provide end-to-end guidance to candidates for GATE-based counseling processes (e.g., counseling registration, eligibility checks, fee payment steps, and timelines).
- Explain counseling procedures, rounds, seat allotment logic, and acceptance/reporting requirements in a clear and accurate manner.
- Support candidates with document preparation and verification readiness (e.g., ID proofs, academic records, category certificates, GATE scorecard, etc.).
- Assist with choice filling strategy and preference planning based on candidate goals, eligibility, and historical cutoffs (where applicable).
- Track key dates (registration windows, round results, reporting deadlines) and proactively remind candidates to prevent missed milestones.
- Handle candidate queries via email, phone, chat, and ticketing systems; maintain strong service-level response times.
- Escalate technical or process issues to relevant teams and follow through to resolution.
- Maintain accurate records of candidate interactions, status updates, and outcomes in CRM/spreadsheets.
- Create and update counseling resources such as FAQs, checklists, process guides, and email templates.
- Ensure compliance with data privacy standards and maintain confidentiality of candidate information.
Requirements
- Bachelor’s degree (Engineering, Science, Education, or related field preferred).
- 1+ years of experience in academic counseling, admissions support, customer support, or education services (freshers with strong aptitude may be considered).
- Strong understanding of GATE ecosystem and counseling pathways (e.g., CCMT/COAP) is highly preferred.
- Excellent verbal and written communication skills; ability to explain complex processes in simple terms.
- High attention to detail and strong organizational skills to manage multiple candidates and deadlines.
- Comfortable working with CRMs, spreadsheets, and online portals; ability to learn new systems quickly.
- Empathy and professionalism when handling anxious candidates and time-sensitive issues.
- Ability to work during peak counseling periods with extended hours as needed.
