About the Role
We are seeking a detail-oriented and student-focused Admissions Coordinator to support end-to-end admission processes for HPTU programs. This role manages applicant communications, application scrutiny, document verification support, counseling/seat allocation coordination, and coordination with internal departments to ensure a smooth, compliant, and transparent admissions experience.
Responsibilities
- Serve as a primary point of contact for prospective students and parents regarding HPTU admissions, eligibility, timelines, and required documents.
- Coordinate the admissions lifecycle: inquiry management, application receipt, document checks, shortlist preparation, counseling support, and offer/confirmation workflows.
- Maintain accurate applicant records and status updates in admissions systems/spreadsheets; ensure data integrity and confidentiality.
- Support document verification processes by checking completeness and consistency of academic records, identity proofs, category certificates (where applicable), and other supporting documents.
- Coordinate with academic departments, examination cell, finance/accounts, and IT teams for seat matrix updates, fee confirmation, and portal-related issues.
- Assist in scheduling and logistics for counseling rounds, orientation sessions, and helpdesk operations (phone/email/on-campus counters).
- Draft and publish admissions communications such as notices, FAQs, and applicant instructions in coordination with authorized stakeholders.
- Track key admissions milestones and prepare daily/weekly status reports for leadership.
- Ensure adherence to institutional policies, regulatory requirements, and audit-ready documentation practices.
- Handle escalations professionally, provide clear resolutions, and maintain a high-quality applicant experience.
Requirements
- Bachelor’s degree in any discipline (Master’s preferred) from a recognized institution.
- 1–3 years of experience in admissions, education administration, student services, or customer support (freshers with strong administrative skills may be considered).
- Strong written and verbal communication skills; ability to explain processes clearly and courteously.
- High attention to detail with strong documentation and record-keeping abilities.
- Proficiency in MS Office/Google Workspace (Excel/Sheets, Word/Docs) and comfort working with online portals.
- Ability to manage multiple tasks under deadlines during peak admissions cycles.
- Professional integrity and ability to handle sensitive personal data confidentially.
- Willingness to work extended hours during counseling rounds/admission deadlines when required.
Preferred Qualifications
- Prior experience in technical university admissions, counseling/seat allocation processes, or education regulatory compliance.
- Experience managing helpdesk operations (email/phone/ticketing) and drafting public notices/FAQs.
- Working knowledge of document verification standards and common academic credential formats.
