Position Summary
We are seeking a detail-oriented Admissions Officer to support end-to-end admissions operations for a leading medical institute. This role focuses on application intake, document verification, candidate communication, portal updates, and coordination with internal departments to ensure a smooth, compliant, and timely admissions process.
This position is ideal for candidates who are comfortable working with high volumes of applications, strict timelines, and formal documentation requirements typical of academic and healthcare institutions.
Responsibilities
- Manage the admissions lifecycle: application receipt, screening, shortlisting support, and final documentation checks.
- Conduct document verification and ensure completeness and authenticity of submitted records (identity, education, category certificates, etc.) as per institute policies.
- Coordinate schedules and communications for key admissions milestones (e.g., verification windows, medical/fitness requirements when applicable, merit list updates, counseling rounds).
- Maintain accurate candidate records in admissions portals/ERP systems; ensure data integrity and timely updates.
- Respond to candidate queries via email/phone/helpdesk, providing clear guidance on requirements, deadlines, and next steps.
- Prepare reports and dashboards on application status, verification outcomes, and pending actions for leadership review.
- Collaborate with academic departments, finance, IT, and compliance teams to resolve discrepancies and streamline admissions workflows.
- Support audit readiness by maintaining organized files and adherence to documentation and retention standards.
- Assist in publishing notices, instructions, and important links on official channels as required.
Requirements
- Bachelor’s degree in Administration, Education, Public Administration, Management, or a related field (Master’s preferred).
- 1–3 years of experience in admissions, academic administration, student services, or document processing (experience in a medical/healthcare education setting is a plus).
- Strong understanding of document verification processes, record management, and deadline-driven workflows.
- Proficiency with MS Office/Google Workspace (Excel/Sheets proficiency required); familiarity with admissions portals/ERPs is preferred.
- Excellent written and verbal communication skills; ability to explain processes clearly and professionally.
- High attention to detail and ability to handle confidential information responsibly.
- Ability to manage multiple tasks simultaneously and remain organized during peak admission periods.
- Comfort working with structured instructions, notices, and formal compliance requirements.
