Position Summary
We are seeking an Admissions & Outreach Coordinator to support end-to-end admission operations, candidate communications, and outreach activities for academic programs associated with Punjab Agriculture University (PAU), Ludhiana. The role focuses on guiding applicants through application milestones, ensuring data accuracy, coordinating with internal stakeholders, and maintaining clear, compliant, and timely communication with prospective students.
This position is ideal for a detail-oriented professional who can manage multiple deadlines, communicate confidently with diverse audiences, and maintain high standards of process integrity and service.
Responsibilities
- Coordinate admission cycle activities including application intake, document collection, verification tracking, and status updates.
- Respond to applicant queries via email, phone, and web channels with accurate, consistent information.
- Maintain applicant records in spreadsheets/CRM/SIS tools; ensure completeness, accuracy, and confidentiality.
- Support publishing and updating admission-related notices, FAQs, and instructions in alignment with official guidelines.
- Assist with scheduling and coordination for key admission events (counseling sessions, document verification days, orientation support).
- Prepare routine reports and dashboards (application counts, category-wise trends, pending documents, conversion metrics).
- Collaborate with academic departments and administration to align eligibility checks, seat allocation workflows, and timelines.
- Support outreach initiatives such as webinars, campus visits, school/college engagement, and information sessions.
- Ensure communications and processes follow institutional policies, applicable regulations, and data privacy expectations.
- Identify process gaps and recommend improvements to reduce turnaround time and improve applicant experience.
Requirements
- Bachelor’s degree (required); Master’s degree in Education/Management/Public Administration (preferred).
- 1–4 years of experience in admissions, academic administration, student services, or customer-facing operations.
- Strong written and verbal communication skills in English; Punjabi/Hindi proficiency is a plus.
- High attention to detail and the ability to manage sensitive information with discretion.
- Comfort with MS Office/Google Workspace (Excel/Sheets proficiency required); familiarity with CRM/SIS tools is a plus.
- Ability to manage multiple priorities, deadlines, and stakeholder requests with professionalism.
- Basic reporting skills (filters, pivots, summaries) and process documentation capability.
- Willingness to support peak-season hours during admissions milestones when required.
