Admissions & Outreach Coordinator (YMCA University of Science and Technology)

Position Summary
We are seeking an Admissions & Outreach Coordinator to support student recruitment, application processing, and applicant communications for academic programs. This role is ideal for a detail-oriented professional who can manage multiple timelines, guide prospective students through admissions steps, and coordinate with internal stakeholders to ensure a smooth applicant experience.

Key Responsibilities

  • Serve as a first point of contact for prospective students via email, phone, and in-person/virtual counseling.
  • Provide accurate guidance on eligibility criteria, application steps, documentation requirements, and key dates.
  • Coordinate end-to-end application support: document collection, verification tracking, and follow-ups with applicants.
  • Maintain and update applicant records in admissions systems/CRM, ensuring data accuracy and confidentiality.
  • Support admissions events (open houses, webinars, school/college outreach visits) and manage attendee communications.
  • Collaborate with academic departments, examination/selection teams, and administrative offices to align on processes and timelines.
  • Prepare routine status reports and dashboards on inquiries, applications, conversions, and pending documentation.
  • Draft and publish applicant communications (notices, FAQs, instructions) in coordination with communications/IT teams.
  • Assist with helpline operations during peak admissions periods and ensure service-level responsiveness.
  • Ensure compliance with institutional policies and applicable regulations related to admissions and student data.

Requirements

  • Bachelor’s degree in any discipline (Master’s preferred).
  • 1–3 years of experience in admissions, student services, education administration, customer support, or a related role.
  • Strong written and verbal communication skills; ability to explain complex processes clearly.
  • High attention to detail with strong organizational and time-management skills.
  • Proficiency with MS Office/Google Workspace (Excel/Sheets, Word/Docs, email tools).
  • Comfort working with databases/CRM systems; ability to learn new portals quickly.
  • Professional, student-first approach with strong problem-solving and follow-up discipline.
  • Ability to manage peak workloads during application deadlines and event days.

Preferred Qualifications

  • Experience coordinating academic admissions, entrance processes, counseling, or documentation verification.
  • Familiarity with higher-education processes in India (eligibility, reservations, merit lists, counseling workflows).
  • Experience organizing webinars/events and using basic marketing/outreach tools.
