Position Overview
We are seeking a detail-oriented Specialist Officer (SO) to support recruitment lifecycle operations, candidate communications, and post-exam processes such as results, cut-offs, and reserve list coordination. This role is ideal for professionals who can manage high-volume, deadline-driven workflows with accuracy and compliance, and who are comfortable working with online application systems, documentation checks, and stakeholder coordination.
This position supports processes commonly seen in large-scale competitive recruitment programs (e.g., screening tests, subject knowledge tests, interviews, document verification, and medical examinations) and requires strong administrative discipline and candidate-service mindset.
Responsibilities
- Coordinate end-to-end recruitment support activities including application intake, fee/payment verification support, and candidate query resolution.
- Maintain and validate candidate records (registration details, roll numbers, date of birth validation steps, and related identifiers) in accordance with defined procedures.
- Support exam-cycle operations: scheduling assistance, admit card communications, result publication coordination, scorecard/cutoff dissemination, and reserve list workflows.
- Assist in document verification planning and execution, ensuring completeness and compliance with eligibility rules.
- Provide structured support for interview scheduling and communication (letters, instructions, and candidate follow-ups).
- Track key dates, milestones, and deliverables; escalate risks such as data mismatches, missing documents, or timeline slippages.
- Prepare reports and dashboards for internal stakeholders on application volumes, status tracking, and resolution SLAs.
- Ensure confidentiality and secure handling of candidate data; follow data governance and access control requirements.
- Collaborate with IT/portal teams to log and resolve issues related to online forms, login/credential problems, and download links.
- Support audit readiness by maintaining clear process documentation, checklists, and evidence logs.
Requirements
- Bachelor’s degree in any discipline (additional qualifications in HR/Operations/IT/Administration are a plus).
- 1–4 years of experience in recruitment operations, examination administration, public-sector hiring support, or high-volume customer/candidate operations.
- Strong attention to detail with proven ability to follow SOPs and handle sensitive personal data.
- Comfortable working with online application portals, spreadsheets, and document management systems.
- Excellent written and verbal communication skills for candidate-facing instructions and stakeholder updates.
- Ability to manage multiple deadlines and high-throughput periods (e.g., application closing, exam dates, result/reserve list releases).
- Working knowledge of verification processes and eligibility validation (age, education, category/relaxation rules) is preferred.
- Integrity, discretion, and compliance orientation are mandatory.
Preferred Skills
- Experience supporting large-scale exam/recruitment cycles involving screening tests, mains/subject tests, interviews, and reserve lists.
- Basic understanding of grievance handling and ticketing systems.
- Ability to create process notes, FAQs, and candidate instruction pages.
