Position Overview
We are seeking an Exam Results & Admissions Support Specialist to help students, applicants, and internal stakeholders access timely, accurate information related to examination results, admit cards, answer keys, notifications, and application processes associated with Anand Agricultural University (AAU). This role focuses on operational support, information verification, candidate communications, and coordination with relevant teams to ensure a smooth end-to-end experience for users navigating exam and admission updates.

This position is ideal for a detail-oriented professional who can manage high volumes of queries, maintain structured records, and communicate clearly while adhering to confidentiality and data handling standards.

Responsibilities

  • Provide front-line support to students/candidates regarding exam results, merit lists, admit cards, answer keys, schedules, and official announcements related to AAU.
  • Monitor official updates and ensure information is captured, verified, and communicated accurately to stakeholders.
  • Assist with content preparation for exam-related updates, including clear instructions for downloading results/admit cards and completing application steps.
  • Maintain and update structured trackers for exams, important dates, document requirements, and status changes.
  • Coordinate with internal teams (content, operations, technical support) to publish updates and resolve discrepancies quickly.
  • Respond to candidate inquiries via email, chat, or phone with professional, compliant, and consistent messaging.
  • Escalate complex issues (e.g., result mismatches, login/access problems, document verification concerns) to the appropriate team and track resolution.
  • Support quality assurance by cross-checking links, dates, eligibility criteria, and instructions before publishing or sharing.
  • Ensure adherence to data privacy practices when handling candidate details (application numbers, DOB, passwords, etc.).
  • Create and maintain FAQs and standard response templates to improve turnaround time and consistency.

Requirements

  • Bachelor’s degree in any discipline (preferred: Administration, Education, IT, or Communications).
  • 1–3 years of experience in customer support, education administration, exam coordination, or helpdesk operations (freshers with strong skills may be considered).
  • Strong attention to detail and ability to validate information across multiple sources.
  • Excellent written and verbal communication skills in English (Gujarati/Hindi is a plus).
  • Comfortable working with web portals, online forms, PDFs, spreadsheets, and basic content management workflows.
  • Ability to manage time-sensitive updates and handle high query volumes during peak exam/result periods.
  • Basic understanding of common exam processes (admit card, answer key, objections, results, counselling/admissions).
  • Professional judgment and discretion when handling sensitive candidate information.

Preferred Skills

  • Experience working with university/exam boards, online application systems, or education portals.
  • Familiarity with issue tracking tools (e.g., ticketing systems) and documentation practices.
  • Ability to interpret official notifications and convert them into user-friendly instructions.
