Position: Gujarat SET Application Coordinator
We are seeking a detail-oriented Gujarat SET Application Coordinator to support candidates and internal stakeholders through the end-to-end application lifecycle for the Gujarat State Eligibility Test (SET). This role focuses on application intake, document validation, fee/payment support, query handling, and coordination with exam operations to ensure accurate and timely processing.
Responsibilities
- Guide applicants through the Gujarat SET application process, including eligibility clarification, form completion support, and deadline communication.
- Review applications for completeness and accuracy, ensuring required fields, category details, and exam center preferences are captured correctly.
- Validate uploaded documents (e.g., photograph, signature, certificates) against defined specifications and escalate discrepancies for resolution.
- Support fee payment troubleshooting across digital payment modes (e.g., card, net banking, challan/e-collect where applicable) and coordinate with payment partners as needed.
- Maintain application trackers and MIS reports (daily/weekly) on submissions, pending actions, corrections required, and resolution status.
- Respond to candidate queries via email/phone/helpdesk ticketing within defined SLAs, maintaining a professional and empathetic tone.
- Coordinate with exam operations teams on exam city/center mapping, admit card readiness, and candidate communications.
- Ensure compliance with data privacy and records retention policies when handling applicant information.
- Assist with publishing and updating application-related notices, FAQs, and instruction pages on web portals.
- Support post-application workflows such as correction windows, admit card issue support, and escalation handling.
Requirements
- Bachelor’s degree in any discipline from a recognized university.
- 1–3 years of experience in application processing, academic/exam administration, customer support, or operations coordination (preferred).
- Strong attention to detail and ability to follow SOPs for document verification and data validation.
- Working knowledge of online application portals, spreadsheets, and basic reporting (Excel/Google Sheets).
- Excellent written and verbal communication skills; ability to explain instructions clearly to applicants.
- Comfortable handling high-volume queries during peak application periods and meeting strict deadlines.
- Basic understanding of category/eligibility documentation and verification workflows (preferred).
- Ability to maintain confidentiality and handle sensitive applicant data responsibly.
