Junior Assistant / Personal Assistant (PA) / Stenographer (Grade-I) – Family & Civil Courts

Position Summary: We are seeking detail-oriented and service-minded professionals for administrative support roles including Junior Assistant, Personal Assistant (PA), and Stenographer Grade-I supporting Family & Civil Court operations. The roles focus on accurate documentation, office coordination, typing/stenography, records management, and day-to-day administrative assistance to ensure smooth functioning of court and departmental workflows.

Responsibilities

  • Provide administrative and clerical support to assigned departments/court offices, including file movement, document handling, and coordination.
  • Prepare, format, and proofread official correspondence, notices, memos, reports, and other documents with high accuracy.
  • Perform typing tasks (letters, orders, minutes, registers) and ensure adherence to prescribed formats and templates.
  • For Stenographer/PA roles: take dictation/stenography, transcribe notes, and maintain confidentiality of sensitive information.
  • Maintain physical and digital records, registers, and databases; ensure systematic filing and retrieval.
  • Support scheduling and coordination of meetings/hearings, including preparing agendas and maintaining calendars (PA roles).
  • Assist in processing applications, acknowledgements, and routine office procedures as per departmental guidelines.
  • Handle inbound/outbound communications (phone, email, in-person) with professionalism and clarity.
  • Coordinate with internal teams and external stakeholders to collect information, track pending items, and meet deadlines.
  • Ensure compliance with office procedures, data privacy standards, and record-retention requirements.

Requirements

  • Education: Graduate or equivalent qualification as per role requirements and applicable norms.
  • Typing proficiency in Hindi/English (as applicable) with strong accuracy and speed.
  • For Stenographer Grade-I/PA: stenography skills with the ability to transcribe efficiently and accurately.
  • Working knowledge of MS Office (Word, Excel) and basic computer operations; familiarity with document management is preferred.
  • Strong written and verbal communication skills; ability to draft and format official documents.
  • High attention to detail, time management, and the ability to handle multiple tasks in a structured environment.
  • Professional integrity and discretion when handling confidential documents and sensitive information.
  • Prior experience in government, courts, or administrative offices is an advantage (not mandatory unless specified).
