Non-Teaching Administrative Assistant (LDC/DEO/Assistant) – Examination Support & Records

Position Summary: We are seeking a detail-oriented Non-Teaching Administrative Assistant (LDC/DEO/Assistant level) to support examination operations, candidate communications, document control, and office administration in an education/testing environment. The role involves managing confidential records, coordinating with internal teams, and ensuring timely, accurate processing of examination-related data and correspondence.

This position is well-suited for candidates who are comfortable working with structured processes, online portals, and high-volume administrative tasks while maintaining strict confidentiality and service standards.

Responsibilities

  • Support end-to-end administrative activities related to examinations, including scheduling coordination, notices, and candidate communications.
  • Maintain and update candidate/exam records in databases and online systems; ensure accuracy, completeness, and proper version control.
  • Assist with processing requests such as admit card/exam city information, answer key availability updates, and general query resolution.
  • Prepare, format, and proofread official letters, circulars, reports, spreadsheets, and meeting notes.
  • Handle inward/outward dispatch, file movement, and indexing of physical and digital documents as per record-retention guidelines.
  • Coordinate with multiple stakeholders (internal departments, vendors, and support teams) to ensure smooth operational flow during exam windows.
  • Ensure compliance with confidentiality requirements for examination materials, candidate data, and internal documentation.
  • Provide front-office or helpdesk support as needed, including email/phone query tracking and escalation management.
  • Assist in basic procurement/administrative support tasks (stationery, printing, scanning, office logistics) as assigned.

Requirements

  • Graduate degree or equivalent qualification (as applicable to the specific post/level).
  • Prior experience in clerical/administrative roles (education, government, testing, or large-scale operations preferred).
  • Strong computer proficiency: MS Office/Google Workspace (Word/Docs, Excel/Sheets, PowerPoint/Slides) and comfort with online portals.
  • Typing/data entry capability with a high level of accuracy; familiarity with document scanning, PDF tools, and file management.
  • Excellent attention to detail and ability to follow standard operating procedures (SOPs) in a compliance-driven environment.
  • Strong communication skills (written and verbal) and a professional, service-oriented approach.
  • Ability to handle time-sensitive work during examination periods and manage multiple tasks with minimal supervision.
  • High integrity and ability to maintain confidentiality of sensitive information.

Preferred Qualifications

  • Experience supporting exam operations, recruitment/testing processes, or academic administration.
  • Knowledge of basic record management practices and document control.
  • Comfort working in bilingual environments (Hindi/English) for candidate-facing communication.
