University Admissions & Examination Support Coordinator (Admit Card Operations)

Position Summary

We are seeking a detail-oriented University Admissions & Examination Support Coordinator (Admit Card Operations) to support end-to-end admit card and exam communications for university and affiliated program examinations. This role focuses on coordinating admit card publication workflows, maintaining accurate candidate data, handling candidate queries, and ensuring timely updates across web portals and communication channels.

This position is ideal for someone who is comfortable working with examination schedules, notices, and candidate-facing processes, and who can collaborate effectively with internal teams to ensure a smooth exam-cycle experience.


Key Responsibilities

  • Coordinate the admit card lifecycle: data readiness, verification, publication schedules, and post-release support.
  • Maintain and validate candidate records (registration details, roll numbers, DOB verification fields, and other identifiers) to ensure accurate admit card generation.
  • Support publication of exam updates (exam date, exam city/center details, notices, instructions, sample OMR guidance where applicable) in coordination with stakeholders.
  • Respond to candidate inquiries regarding admit card access, login issues, discrepancies, and escalation to appropriate teams.
  • Track critical milestones and create checklists for each exam cycle (release dates, notices, server links, FAQs, and support SLAs).
  • Coordinate with IT/portal administrators to monitor performance during high-traffic events (admit card release days), including fallback links and basic incident reporting.
  • Ensure communications are clear, consistent, and compliant with institutional policies (including disclaimers and official-source linking).
  • Prepare and maintain FAQs and step-by-step instructions for candidates to download admit cards and related documents.
  • Document recurring issues and propose process improvements to reduce candidate friction and support load.
  • Assist in compiling daily/weekly status reports during peak exam operations.

Requirements

  • Bachelor’s degree (preferred) or equivalent experience in academic administration, examination operations, customer support, or portal operations.
  • 1–3 years of experience in examination cell support, admissions coordination, education administration, or a similar operations role.
  • Strong attention to detail and ability to manage time-sensitive deliverables with accuracy.
  • Comfortable working with candidate data, basic spreadsheets, and web-based admin tools/portals.
  • Excellent written communication skills for drafting notices, instructions, and candidate responses.
  • Ability to handle high-volume queries calmly and professionally during peak release periods.
  • Working knowledge of common verification fields (registration ID, roll number, DOB, password/OTP) and typical portal flows.
  • Basic understanding of incident escalation and coordination with technical teams (no coding required).
  • Preferred: Experience supporting admit card, answer key, result, or exam city/center communications.
  • Preferred: Familiarity with higher-education examination processes and compliance requirements.
