Overview
We are seeking detail-oriented, dependable professionals for the role of Upper Division Clerk (UDC) / Stenographer Grade III. This position supports administrative operations through accurate documentation, records management, office coordination, and (for stenography roles) high-quality shorthand and transcription services. The ideal candidate demonstrates strong communication skills, confidentiality, and the ability to work efficiently in a structured, compliance-driven environment.

Responsibilities

  • Maintain and manage office records, files, registers, and databases in accordance with organizational policies.
  • Prepare, format, and process official correspondence, notes, letters, reports, and other documentation.
  • Coordinate schedules, meetings, and internal communications; handle incoming/outgoing mail and document routing.
  • Support procurement and administrative workflows such as requisitions, inventory logs, and basic office tracking.
  • Assist in compiling data for periodic reports and ensure accuracy and timely submission.
  • Provide front-office and stakeholder support, including responding to queries and guiding visitors as required.
  • For Stenographer Grade III: Take dictation in shorthand, transcribe accurately, and prepare finalized documents within required timelines.
  • Ensure confidentiality of sensitive documents and adhere to applicable rules, procedures, and compliance requirements.
  • Collaborate with team members and support other administrative tasks assigned by supervisors.

Requirements

  • Proven ability to work in an administrative/clerical capacity with strong attention to detail.
  • Proficiency in typing and common office tools (word processing, spreadsheets, email).
  • Strong written and verbal communication skills; ability to draft professional correspondence.
  • Excellent organizational skills and the ability to manage multiple tasks and deadlines.
  • Integrity, discretion, and professionalism in handling confidential information.
  • For Stenographer Grade III: Shorthand and transcription capability with demonstrated accuracy and speed appropriate for official documentation.
  • Comfort working in a structured environment with defined processes and documentation standards.

Preferred Qualifications

  • Prior experience in government, public-sector, education, healthcare, or research administration.
  • Experience maintaining records, registers, or documentation under audit/compliance standards.
  • Familiarity with document control practices and office workflow management.
